Property management system
The property management system is web-based and can be accessed from anywhere with a web-browser and an internet connection. There are no limits to the number of properties/applicants that the property management system can manage. Please note that we are able to fully customise and add new features as required. Features are listed below:
Secure user login.
Property management system homepage - shortcuts to arrange a viewing, find property, find applicant, find vendor/landlord. Today's appointments are listed for the logged in member of staff. Overall statistics for properties, applicants and clients are listed, broken down by sales/lettings.
Sales/lettings properties - negotiator, category, status, price, address, type, bedrooms, receptions, bathrooms, valuations, terms, fees, tenure, ground rent, service charge, lease, borough, tax band, live date, access notes, key code, alarm code.
Clients - ability to add multiple vendors/landlords to a property.
Content - ability to specify heading, featured text, description, area overview, bullet points, photos, floorplans, PDFs, virtual tours, room measurements and descriptions for use on website.
Featured - ability to set properties to be featured so that they appear in the home page or on the sales/lettings search page as featured properties.
Offers - overview of pending offers on all properties. Ability to log offers made on property (date, asking price, offer, applicant, status). Option to automatically notify vendor/landlord of the offer by email or SMS.
Property notes - take on, notification, viewing, offer, conveyancing, lettings property checklist, keys, lettings management, emails sent.
New property requirements email + unsubscribe link, instruction email, sales memorandum, buyer's letter, vendor's letter, solicitor letters.
Applicants - negotiator, name, address, contact details, login password, requirements, viewings, email notifications log, financial details, offer history, solicitor.
Clients (vendors/landlords) - negotiator, name, contact details, notes, overview of properties attached to vendor/landlord.
Contacts database - company name, contact name, contact details.
Diary - View by negotiator/office. Add/delete (all day) appointment to the diary, select property/applicant. Supported views - day/week/month/year.
Email log - ability to search through all emails or SMS sent by the property management system.
Conveyancing (sales only) - overview of stages for sales properties eg.mortgage agreed/exchanged/completed. Vendor/buyer solicitor, mortgage broker, estate agent, surveyor, survey appointment time, chains, sales tracker, completion price, solicitor invoice, date of payment.
Feedback manager - overview of those applicants that are being chased automatically/manually by the property management system for feedback after their viewing. By default, once a viewing has taken place, the applicant will be sent up to 3 email reminders to provide feedback through their login. Once they have submitted their feedback, this is viewable through the vendor/landlord login.
Take-ons manager - overview of all properties that have been submitted through the website and have not yet gone live.
Reports - overview of low interest and split commission properties.
Lettings/tenancy management - overview of tenancies and lettings management processes and integration of accounts. Reports include move in dates, gas safety checks, tenancy agreements, managed properties, non-managed properties, move out dates, deposits held.
Keys manager - overview of properties, key codes and notes based on key movement.
Invoicing - overview of invoices based on sales/lettings properties or manual invoices (sent to the contacts database).
Viewings - overview of viewings broken down by sales/lettings properties and by viewing stage eg. vendor awaiting to confirm. The various stages of booking a viewing triggers off emails and SMS to the vendor/landlord and applicant.
Documents - invoices, letters, memos, etc. generated into PDF format based on letter-head so that they can be emailed.
Newsletter - ability to select vendors/landlords/applicants by area and send a newsletterto those selected.
Settings - ability to define user accounts, offices, regions, areas, property/applicant/client dropdowns and email templates.
